This policy explains what personal information we collect on celtic3d.com, why we collect it, who we share it with, and the rights you have over it. Celtic3d Ltd is the data controller for the personal information described here. You can reach us about anything in this policy at admin@celtic3d.com.

The short version

  • We collect what you give us (account details, orders, messages — including chat conversations with our AI assistant) and some technical information collected automatically (cookies, analytics).
  • Our AI chat assistant answers from our own content, stored on our own website. Only your message and the relevant excerpts of our content are sent to an AI provider to compose the answer. Our providers do not use your conversations to train their models.
  • Chat conversations are stored only with your consent, kept for a limited period, and you can ask us to delete them at any time.
  • We never sell your personal information.

1. The AI chat assistant

Our website offers an AI-powered chat assistant (built on our own product, AnswerRails) that answers questions about our products and services.

How your question is answered. Our knowledge base — the product and service information the assistant answers from — is stored and searched on our own WordPress site. When you ask a question, your message, the recent conversation, and only the excerpts of our content relevant to your question are sent to an AI provider to generate the reply.

AI providers. We currently use OpenAI to generate answers, and may also use Anthropic (Claude) or Mistral AI — the assistant may be served by any of these at a given time. Each acts as a processor for the purpose of generating the answer:

Under our agreements with these providers, the content of your conversation is not used to train their models. We deliberately do not use providers whose terms would permit that on this service.

Conversation storage and consent. Before your first message, the assistant asks for your consent to store the conversation. With your consent, we store the conversation together with your IP address and browser (user agent) information — this helps us improve answers and investigate abuse. If you do not consent, you can still browse the site; the chat requires consent because storing the conversation is part of how we operate it. Stored conversations are retained for 180 days and then deleted automatically. You can withdraw consent and ask us to delete your conversation at any time via admin@celtic3d.com.

Human handoff and follow-up. If the assistant can’t help, detects that you’d like to speak to a person, or you show interest in buying, it may offer to take your email address or phone number. If you provide contact details, they are emailed to our team together with the relevant part of the transcript so we can follow up — that is their only use. The assistant also flags feedback and feature ideas from conversations for our internal product review; these are handled under the same storage and retention rules as the conversation itself.

In your browser. The chat keeps your current conversation in your browser’s storage so it survives page changes while you’re on the site. You can clear it with the chat’s “New conversation” control or through your browser settings.

Spam protection. The chat is protected by Google reCAPTCHA v3, which assesses whether a visitor is likely to be a bot. Google’s script loads only if you open the chat, and its use is subject to Google’s privacy policy and terms.

2. Other information we collect

Information you give us. When you create an account, place an order, or contact us, we collect the details you provide — such as your name, email address, delivery address, and the content of your messages.

Information collected automatically. We use cookies (both session and persistent) to operate the site and keep you logged in, and Google Analytics to understand how the site is used. Google Analytics receives the information your browser sends when requesting a page, including cookies and your IP address. You can control cookies through your browser settings; the site’s core functions may not work without session cookies.

3. How we use your information

We use personal information to: provide and improve the site, our products and the chat assistant; fulfil and deliver orders; respond to enquiries and follow up when you’ve asked us to; send service notifications and, where you haven’t opted out, occasional newsletters; protect the site and our visitors from abuse; and meet our legal obligations.

Our lawful bases under UK GDPR are: contract (accounts, orders, deliveries); consent (chat conversation storage, newsletters); and legitimate interests (site security and spam protection, service improvement, responding to enquiries, and retaining minimal evidence of consent decisions).

4. How we share your information

We share personal information only with processors who help us run the service, under contracts that restrict what they may do with it:

  • AI providers (OpenAI, Anthropic, Mistral AI) — chat answer generation, as described in section 1.
  • Google — reCAPTCHA spam protection and Google Analytics.
  • Delivery and fulfilment partners — the details needed to fulfil and ship your order.
  • Our hosting and email providers — to operate the site and correspond with you.

We do not sell personal information, and we do not share it with anyone for their own marketing.

5. International transfers

Some of our processors (OpenAI, Anthropic, Google) are based in the United States; Mistral AI is based in France. Where personal information leaves the UK, we rely on the safeguards recognised by UK law — the UK Extension to the EU-US Data Privacy Framework where the provider is certified, or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.

6. How long we keep it

Chat conversations: 180 days, then deleted automatically. Contact details you provide for follow-up: as long as needed to deal with your enquiry. Account and order records: for the life of your account and as required for tax and accounting law. Consent records: retained as minimal evidence of your consent decision.

7. How we protect it

We use appropriate technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls, and rate limiting on the chat service. No method of transmission or storage is completely secure; if we learn of a breach that affects your personal information, we will notify you and the Information Commissioner’s Office as the law requires.

8. Your rights

Under UK GDPR you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to processing, to data portability, and to withdraw consent at any time (including for chat storage) without affecting the lawfulness of processing before withdrawal. To exercise any of these, email admin@celtic3d.com — we’ll respond within one month. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk), though we’d welcome the chance to resolve any concern with you first.

9. Children

This site and its chat assistant are intended for general audiences and are not directed at children. We do not knowingly collect personal information from children; if you believe a child has provided us personal information, contact us at admin@celtic3d.com and we will delete it.

10. Links to other websites

Our site contains links to other websites. This policy covers celtic3d.com only — we’re not responsible for the privacy practices of other sites, and we’d encourage you to read their policies.

11. Changes to this policy

We’ll post any changes to this policy on this page and update the date at the top. If a change materially affects how we handle personal information you’ve already given us, we’ll notify you by email or a prominent site notice before it takes effect.
